I have taken the information from you as best as I could understand it and presented it in the form of a budget showing the costs and effect on profitability (page1) and then as a daily and weekly schedule of who is working when (page 2).I have then studied this further, against the background of fulfilling certain policies which I think we should try to work to, finally preparing another set of suggested staffing schedules, further detailed by day and by staff member for us to discuss.

This latter plan provides you with more support when needed most, costs less in salary and also saves the business NHI. The effect is to put the business in profit. Suggested New Policies “Staffnew”.

1. Staffing level. Adopting the following number of staff: One member to run the shop etc., attending the till, stocking and cleaning shelves, helping elsewhere during quiet times;

Two during Post Office hours, this second being either the Manager or Deputy to undertake post office transactions, run computer ordering/receipt/accounts etc. and supervise stock checks; Three during major deliveries such as Blakemores of  more than £1000, this third person humping and carrying and checking things off.

2. Staffing Supervision. It makes sense to use the Deputy manager’s hours as much as possible in the absence of the Manager to provide necessary relief and staff supervision.

3. Staff Hours. To balance staff hours to try to ensure that they are under 20 hours a week to avoid the costly overhead of Employer’s NHI and also to ensure that they have capacity to work extra hours when needed and that we have less dependence on any one member.

4. Times and Schedules. Whilst it is appreciated that certain staff like to work at certain times and in the company of certain other staff members, the business has to value most those staff members who are flexible and available at times to suit the following priorities:- The customer and business needs without which the business cannot survive.

The convenience of the manager who works long hours and needs relief and co-operation. The convenience of themselves and specifically not the other way round. Staff who are most flexible will be appreciated and rewarded best in the longer term.
