To EDP Field Sales Manager Dear Mick, I have been trying to contact you recently without success.

With regard to the recent letter received from your Dairy Manager, I would like to discuss the proposed 1p price increase on milk with you.

As you may recall, when we first negotiated our terms with you, we struggled to price our milk to return a reasonable margin, trading as we do in the shadow of the supermarkets in Diss.

We feel sure that they will continue to receive much more favourable terms than us and that a price increase at this point cannot be sustained without loss of trade and volume.

We have worked hard to build up our order quantities and, as your records will show, we are now ordering in much higher volumes that originally envisaged.

We also fit in well with your other deliveries, being quite happy to receive your consignments late in the morning and thus saving you peak transport costs.

In fact, based on this improved customer profile, I was on the point of contacting you to try to negotiate improved terms when I received your notification!

The purpose of this letter is to request a moratorium on our prices until we have had a chance to meet and  monitor the local market and also discuss widening our purchases from you to include other dairy and related products.

f other prices move up or we cannot find other ways of meeting your profit goals, then we would agree to your proposal

Further to telephone conversations with Donna Phillippo and Merv. Freeman, I have taken up his suggestion and write to ask you to consider your approval of the enclosed credit return authorisations  for weeks ending 24th and 31st August 1996; weeks 34 & 35.

It appears that these had been incorrectly completed at the time in respect of the route and drop number which have now been added.

I appreciate that you work to guidelines concerning the time by which complete and accurate return forms are received and, although the forms were initially returned in time, we concede that they were incompletely filled in, relying upon the fact of their attachment to our newspaper returns which we now realise was unwise.

We apologise for this lateness of these corrections due to our only recently having realised that you had not received them in an acceptable condition for these two weeks when they did not appear on our monthly invoice number 44725 even though the top copies of these two return notes were correctly put out with the weeks’ returns on the Sunday nights and collected by your driver as usual.

We have instituted new shop procedures to avoid this reoccurring and ask for your co-operation in processing them on this occasion. I look forward to hearing from you. David A Broad B.Sc.(Hons)Eng. FIMgt
