Working with manager Sarah to overcome cash losses during till reconciliation

I created and printed out this policy for till reconciliation following a series of cash losses that cast a cloud over employee honesty

Sarah, Further to problems with Claire and till reconciliation, in order to be fair to Claire and the other staff we do need to implement some clear procedure for staff to check their till at the end of the evening, as well as remembering all the other end of shift routines.

Louise has suggested that this could take the form of a checklist which has all their jobs and priorities for the evening, any special tasks you require of them, the end of shift routines, and a space for them to fill in their cash at the end of the evening, and the amount stated on the X reading.

This checklist could be copied, and a sheet provided for completion each evening.

This could also be used for other staff shifts particularly where you are leaving staff on their own. Louise has drafted a version of this checklist for your comments. David.

To Claire Allen,. Dear Claire, Louise and I have this morning been helping Sarah reconcile till shortages as a consequence of your positive account enquiry on Monday night.

Apparently, in trying to check your account balance, you ended up ringing up money to departments and authorising refunds which should not have been needed.

This led to a till shortage of £30.52 which has had to be put right two days later, by which time the problem had become much more difficult to identify and resolve.

We were disappointed to realise that you firstly were not able to correctly check an account balance, a procedure which could often be required by customers.

Secondly, that you did not feel it appropriate to report the incident to Sarah, either verbally or by a note in the Staff Log Book.

This log book is intended entirely for this purpose and has proved to be quite successful. Reporting the problem at the time would have enabled corrective action to be taken within the same accounting period and without several hours of managerial intervention being needed.

You will recall our initial discussions upon your joining us at Redgrave Spar, when I emphasised the need for our staff to be self-sufficient but also, and more importantly, to seek help when needed as problems can be avoided and best solved if known about.

If you have any further difficulties of this kind, I hope you will report them fully and feel able to discuss them with Sarah in order to obtain any necessary guidance and training.
